How to make a delivery challan

Goods sometimes move without a sale yet: on approval, for job work, to a branch, or before the invoice. A delivery challan goes with them.

Step by step

  1. Choose the Purpose. Job work, Supply on approval, Sale (invoice to follow), Branch or stock transfer or Other.
  2. Delivery challan details. Number, date, Place of supply, Order / PO number, Vehicle number, Transporter, LR / docket number.
  3. Deliver to (consignee). Who receives the goods.
  4. Items with value. Quantity and rate; tick Show GST on this document if the tax should be shown.
  5. Copies and save. Print 3 copies; the original and duplicate travel with the goods.
  6. Bill it later. Press Make invoice when the sale is final; the status becomes Invoice made.

Worked example

Goods worth ₹80,000 go to a customer on approval on 1 November: challan DC/26-27/007, purpose Supply on approval. The customer keeps goods worth ₹60,000 and returns the rest on 20 November: press Make invoice, change the quantities to what was kept, save, and set the challan to Invoice made.

Rules and dates

Rule 55 of the CGST Rules lists when a challan is used and what it shows. Goods sent on approval must be invoiced within 6 months or returned (section 31(7)). An e-way bill may still be needed for goods over ₹50,000.
